We're looking for someone who thrives in a fast-paced environment, enjoys juggling multiple priorities, and takes pride in delivering exceptional service while maintaining a high level of accuracy and professionalism.
Key Responsibilities
Be the first point of contact for clients and visitors, providing a warm and professional front-of-house experience.
Coordinate day-to-day administration, including listings, sale and purchase agreements, auction documentation, Property Suite processing, and sales support.
Maintain property listings, databases, CRM systems, and reporting to ensure information is accurate and up to date.
Prepare submissions, vendor reports, presentations, meeting minutes, and marketing documentation.
Coordinate marketing campaigns, including property advertising, social media, newsletters, website updates, print collateral, and promotional material.
Support auction preparation, open homes, community events, gifting programmes, and office initiatives.
Process invoices, marketing budgets, and administrative documentation while maintaining accurate records.
Liaise with agents, solicitors, clients, suppliers, and internal stakeholders to ensure seamless day-to-day operations.
Maintain office presentation, supplies, meeting rooms, and ensure Bayleys' brand standards are consistently upheld.
Provide general administration and operational support to the wider team as required.
About You
Previous administration or team support experience within a fast-paced environment.
Exceptional organisational skills with the ability to manage multiple priorities and meet deadlines.
Strong attention to detail with a high level of accuracy.
Confident communicator who enjoys building relationships with both internal and external stakeholders.
Tech-savvy with experience across Microsoft Office and CRM systems; experience with Property Suite or the real estate industry is advantageous but not essential.
A proactive, positive attitude with the ability to use initiative and solve problems independently.
Friendly, professional, and customer-focused, with a willingness to jump in and support wherever needed.
A collaborative team player who enjoys contributing to a high-performing office culture.
Why Join Bayleys?
